This policy applies to payments made for AfricaTourVisa services, including travel assistance, visa-support services, application support, accommodation-related services, airport pickup, transport, tours, document-support services and other paid services where payment is collected through AfricaTourVisa.
Specific orders may also be subject to additional service conditions displayed before payment.
2. Accepted payment methods
Payment options displayed at checkout may vary depending on the service, customer location, currency, payment provider and technical availability.
Available methods may include:
Supported cards may be accepted through an authorized payment provider where card payment is available.
Alternative electronic payment services may be offered where available during checkout.
Certain transactions may require confirmation through your bank, card issuer or authentication application.
Additional methods may be made available for particular services or regions where appropriate.
A payment method should only be considered available when it is displayed during the actual checkout process.
3. Payment authorization
When making a payment, you confirm that you are authorized to use the selected payment method and that the payment information provided is accurate.

Depending on the payment arrangement, AfricaTourVisa may receive limited transaction information such as:
- transaction reference;
- payment status;
- amount;
- currency;
- payment method category;
- limited card details such as the last digits where provided by the processor.
Full payment-card credentials should normally remain within the authorized payment processing environment where the checkout system is configured in that manner.
5. AfricaTourVisa service fees
AfricaTourVisa may charge a service fee for assistance provided.
Depending on the service, the fee may cover activities such as:

- review of information supplied by the customer;
- document-support services;
- customer support;

- booking or coordination services;

Where practical, separate government, third-party and AfricaTourVisa service fees should be identified during the purchase process.
Government and supplier prices may change independently of AfricaTourVisa.
7. Currency and exchange rates
The currency charged should be displayed during checkout before the customer confirms payment.
If your payment account uses a different currency, your bank or payment provider may perform currency conversion.
Your payment provider may apply:
- its own exchange rate;
- foreign transaction fees;
- currency-conversion charges;
- other banking or card fees.
Charges imposed independently by your bank or payment provider are generally outside AfricaTourVisa's control.
8. Payment confirmation and invoices
After a successful payment, the customer may receive a confirmation page, payment confirmation, receipt, invoice, order reference or similar record depending on the service.
Customers should keep the relevant order or payment reference because it may be required for customer support, refund requests, complaints or transaction verification.
A payment appearing on a banking application does not always mean that AfricaTourVisa has received a completed payment. Some banking systems may temporarily show pending authorization.
9. Failed, declined or incomplete payments
A payment may fail or be declined for reasons including:
- incorrect card details;
- insufficient funds;
- failed 3D Secure authentication;
- bank security restrictions;
- transaction limits;
- expired payment credentials;
- fraud-prevention checks;
- network or payment-provider outages;
- unsupported payment method or currency.
If a payment fails, customers should check the payment status before repeatedly attempting payment.
If your bank shows a pending amount after a failed attempt, that may represent a temporary authorization rather than a completed charge. Your bank or payment provider controls how quickly such an authorization is released.
10. Duplicate payments
If you believe you have been charged more than once for the same order, contact AfricaTourVisa before initiating multiple payment disputes.
Please provide:
- your order or application number;
- payment date;
- amount;
- currency;
- transaction references where available;
- evidence showing the suspected duplicate transactions.
We can review our transaction records and determine whether multiple completed payments were received.
11. Fraud prevention and suspicious transactions
AfricaTourVisa and its payment providers may use fraud-prevention and security controls to protect customers and payment systems.
A transaction may be delayed, rejected or reviewed where indicators suggest:
- unauthorized use of a payment method;
- identity inconsistencies;
- unusual transaction patterns;
- suspected card fraud;
- account compromise;
- abusive payment activity;
- other security concerns.
Additional verification may be requested where reasonably necessary.
12. Refunds
Eligibility for a refund depends on the service, the stage of processing, work already completed, third-party costs incurred and the applicable refund conditions.

If a refund is approved, it may normally be returned through the original payment method where practical.
The time required for an approved refund to appear in the customer's account may depend on the payment provider, card network, financial institution and currency involved.
13. Chargebacks and payment disputes
If you believe there is a payment problem, we encourage you to contact AfricaTourVisa first so the transaction can be reviewed.
A chargeback is a payment dispute initiated through a card issuer or payment provider. Where a chargeback occurs, AfricaTourVisa may provide transaction and service records to the relevant payment provider in order to respond to the dispute.
Such records may include:
- order information;
- payment confirmation;
- service records;
- customer communications;
- application or booking status;
- relevant terms and refund conditions;
- evidence that a service was supplied or processing commenced.
Fraudulent or deliberately misleading chargebacks may result in restriction of future services where legally permitted.
14. Independent payment providers
Payments may be processed through independent payment providers, acquiring banks, card networks or financial institutions.
These organizations may apply their own:

- authentication procedures;

- fraud controls;
- currency conversion rules;

AfricaTourVisa does not control decisions made independently by your card issuer, bank or payment provider.
