1. Introduction

AfricaTourVisa provides travel information, visa assistance, travel authorization support, booking assistance and travel-related services through africatourvisa.com. This Refund Policy explains how refund requests are reviewed and when fees may or may not be refundable.

By placing an order, submitting an application request, making payment or using our services, you agree to this Refund Policy and any additional terms shown at checkout or in service-specific pages.

Important: AfricaTourVisa may charge service fees for reviewing information, preparing documents, providing support, processing requests and coordinating with third parties. These fees are separate from government, embassy, consular, immigration, airline, hotel, tour or supplier fees.

2. Scope of This Refund Policy

This policy applies to refund requests related to:

  • Visa assistance and visa application support services.
  • Electronic travel authorization support and document review services.
  • Tour, hotel, transfer, airport pickup, car rental and travel package booking support.
  • Service fees, processing fees, consultation fees and support fees charged by AfricaTourVisa.
  • Duplicate payments, accidental overpayments and payment errors.

Some services may include separate supplier cancellation rules. Where a third-party supplier policy applies, that policy may control the refund outcome for that part of the booking.

3. Refund Eligibility

Refund eligibility depends on the type of service, payment status, processing stage and whether work has already started. A refund may be considered when:

  • You paid but no processing, document review, consultation, submission or booking work has started.
  • You made a duplicate payment for the same service and the duplicate can be verified.
  • A payment was charged in error and the error can be confirmed.
  • A service was unavailable and no suitable alternative or processing work was provided.
  • A supplier authorizes a refund under its own cancellation policy.
Processing stage matters: Once AfricaTourVisa begins work on your request, submits information to an authority, reserves a travel service or pays a supplier, refunds may be limited or unavailable.

4. Non-Refundable Fees and Situations

Unless otherwise required by law or expressly agreed in writing, the following may be non-refundable:

  • Service fees after processing, review, consultation, document preparation, submission or support work has started.
  • Government, embassy, consular, immigration, border, official portal or authority fees once paid or submitted.
  • Urgent, express, priority or rush processing fees after the urgent service begins.
  • Fees for completed consultations, document reviews, eligibility checks or administrative support.
  • Travel booking fees where the hotel, airline, tour operator, transfer provider, car rental company or supplier does not authorize a refund.
  • Requests denied because the customer supplied incorrect, incomplete, false, late or inconsistent information.
  • Refusals, denials or delays caused by government authorities, embassies, consulates, airlines, immigration, border control or third-party systems.
  • Customer changes of mind after processing, booking or submission has started.

5. Cancellations by Customer

You may request cancellation by contacting AfricaTourVisa support as soon as possible. Cancellation does not automatically guarantee a refund.

If cancellation is received before work starts, a refund may be possible, minus payment processor charges, administrative costs or any fees stated at checkout. If work has started, AfricaTourVisa may retain fees for work performed, costs incurred and third-party payments already made.

6. Government, Embassy and Official Portal Fees

Official fees charged by governments, immigration authorities, embassies, consulates or official visa portals are generally outside AfricaTourVisa’s control.

Once official fees are paid or an application is submitted, those fees are usually non-refundable, even if the application is refused, delayed, cancelled, withdrawn or not used for travel. Any refund from an official authority depends on that authority’s own rules and timeline.

7. Tours, Hotels, Airport Pickup, Car Rental and Travel Services

Refunds for travel services depend on supplier rules and timing. Hotels, tour operators, drivers, transfer providers, car rental companies, airlines and package partners may each apply separate cancellation, amendment or no-show rules.

Service type Typical refund position Important note
Visa assistance May be refundable before processing starts. Usually non-refundable once review, preparation or submission begins.
Official visa fees Usually non-refundable after payment/submission. Controlled by the relevant authority, not AfricaTourVisa.
Hotels Depends on hotel rate and cancellation deadline. Non-refundable hotel rates may not be refunded.
Tours and activities Depends on operator rules and notice period. Last-minute cancellations or no-shows may be non-refundable.
Airport pickup / transfers May be refundable with enough advance notice. No-shows, wrong flight details or late cancellation may not qualify.
Car rental Depends on rental company policy. Driver eligibility, deposit and insurance rules may affect refunds.

8. Duplicate Payments and Payment Errors

If you believe you paid twice for the same service or were charged in error, contact support with your transaction receipts, order reference and payment details.

Verified duplicate payments or confirmed payment errors may be refunded to the original payment method, subject to payment processor rules, bank timelines, currency conversion differences and any non-refundable processor charges.

9. How to Request a Refund

To request a refund, contact AfricaTourVisa support and include:

  • Your full name and email address used for the order.
  • Order number, application reference or booking reference.
  • Payment receipt, transaction ID or proof of payment.
  • The service purchased and date of payment.
  • The reason for the refund request.
  • Any supporting documents, such as duplicate payment proof or supplier cancellation notice.

Incomplete refund requests may take longer to review.

10. Refund Review and Processing Timeline

AfricaTourVisa will review refund requests based on the service status, payment history, supplier rules and supporting evidence. If approved, refunds are normally issued to the original payment method.

Refund arrival times depend on banks, card networks, payment processors, currency conversions and the customer’s financial institution. Processing delays outside AfricaTourVisa’s control may occur.

11. Chargebacks and Payment Disputes

If you open a chargeback or payment dispute with your bank or payment provider, AfricaTourVisa may pause refund review while the dispute is handled by the payment network.

We may provide evidence of service delivery, submitted requests, communications, terms accepted at checkout and supplier records to the payment processor or bank.

12. Changes to This Refund Policy

AfricaTourVisa may update this Refund Policy to reflect changes in services, suppliers, payment systems, legal requirements or business practices. Updates will be posted on this page with a revised date.

Refund Policy FAQ

Quick answers about visa refunds, travel service refunds, cancellations, duplicate payments and timelines.

Can I get a refund if my visa is refused?

Are government visa fees refundable?

Government, embassy, consular, immigration and official portal fees are generally non-refundable once paid or submitted, unless the authority itself allows a refund.

Can I cancel before processing starts?

If cancellation is received before processing, document review, consultation, submission or booking begins, a refund may be possible, subject to payment processor fees and any checkout terms.

What happens if I paid twice?

Verified duplicate payments can usually be refunded to the original payment method. Send your order reference and both transaction receipts to support.

How long does a refund take?

Approved refunds are issued according to payment processor and bank timelines. Your bank, card network, currency conversion and payment method may affect when funds appear.
